Rayners Lane FC is committed to ensuring the safety and welfare of all children and young people involved in football at our club. As an FA Charter Standard Community Club, we fully endorse and implement The FA's Safeguarding Children Policy and Procedures.

Club Welfare Officer: Emma Galloway

Rayners Lane FC has a designated Club Welfare Officer: Emma Galloway (CWO) who is responsible for safeguarding matters at the club. The CWO has completed The FA Safeguarding Children Workshop and holds a current FA-Enhanced DBS certificate.

Key Principles

• The welfare of the child is, and must always be, the paramount consideration
• All children and young people have a right to be protected from abuse regardless of age, gender, disability, culture, language, racial origin, religious beliefs or sexual orientation
• All suspicions and allegations of abuse will be taken seriously and responded to swiftly and appropriately
• Working in partnership with other organisations, children, young people and their parents/carers is essential
• All club officials working with children hold a current FA-enhanced DBS certificate

Reporting Concerns

Any adult or young person with concerns about a colleague can contact The FA Safeguarding Team on 0800 169 1863, or by writing to The FA Case Manager, Wembley Stadium, London HA9 0WS. Concerns can also be reported to the NSPCC on 0808 800 5000.

This policy operates in conjunction with The FA Safeguarding Children Policy and Procedures, available at thefa.com/safeguarding.

• The club will challenge and report any discriminatory behaviour, language or attitudes
• Any club member, player or official found guilty of discriminatory behaviour will be subject to disciplinary action
• The club actively promotes equality in player recruitment, coaching and committee roles
• The club supports the FA's Kick It Out campaign and Rainbow Laces initiatives

Reporting Discrimination

To report an incident of discrimination at Rayners Lane FC, contact the club via our contact page or report directly to The FA via kickitout.org/report or the Kick It Out app.

Rayners Lane FC is committed to providing a safe, friendly and supportive environment for all participants. Bullying of any kind is unacceptable at our club and will not be tolerated.

What is Bullying?

Bullying is behaviour that hurts someone else — it can be physical, verbal, psychological or conducted online (cyberbullying). It is usually repeated over time and intentionally hurts or harms another person or group.

Our Commitments

• All forms of bullying will be taken seriously and dealt with promptly
• Players, officials, parents and supporters are expected to treat all individuals with respect
• Bullying will be treated as a disciplinary matter under the club's complaints procedure
• Anyone experiencing or witnessing bullying should report it to the Club Welfare Officer: Emma Galloway or a committee member immediately
• All reports will be handled sensitively and confidentially

If you are concerned about bullying involving a child, contact the Club Welfare Officer: Emma Galloway. In an emergency, contact the NSPCC on 0808 800 5000 or call 999.

Failure to comply with these codes of conduct may result in disciplinary action by the club and/or referral to Middlesex County FA. All participants are expected to uphold The FA's values of respect, integrity and fair play.

Rayners Lane FC fully supports and implements The FA's Respect programme. We are committed to creating a safe, positive and enjoyable football environment for everyone involved in the game.

As part of our commitment to the Respect programme, Rayners Lane FC:

• Displays the Respect barriers and signage at Tithe Farm Social Club on match days
• Ensures the Respect codes of conduct are distributed to all players, officials and spectators
• Challenges and reports all incidents that are contrary to the spirit of the Respect campaign
• Supports and respects all match officials
• Creates a welcoming environment for all participants regardless of background

Rayners Lane FC recognises the need to ensure the welfare and safety of all young people in football. In line with The FA's guidance, we have adopted the following policy on photography and filming at club events.

General Principles

• Photography and video filming are permitted at Tithe Farm Social Club matches for personal use and club media
• Anyone wishing to photograph or film at club events involving under-18s must seek the permission of a club official
• The club will always seek consent from parents/guardians before publishing images or footage of under-18s on the club website or social media
• Photographs or footage must not be used in any way that could be deemed inappropriate or harmful
• Anyone suspected of using photography or filming for inappropriate purposes will be asked to leave the ground immediately and may be reported to the police

Club Media

The club may use photographs and video for official club purposes including the website, social media, programmes and promotional materials. By participating in club events, members and their parents/guardians consent to the club's use of such material unless they notify the club otherwise.

Rayners Lane FC recognises the value of social media in promoting the club and engaging with supporters. All club members, players, officials and volunteers are expected to use social media responsibly.

Expected Standards

• Never post content that is discriminatory, offensive, harassing or defamatory
• Do not post comments that could bring Rayners Lane FC, Tithe Farm Social Club or any individual into disrepute
• Do not share confidential club information on personal social media accounts
• Do not post images of under-18s without parental consent
• Do not engage in online abuse directed at match officials, opponents or other supporters
• Report any abusive or threatening content directed at club members to a committee member

Breaches of this policy may result in disciplinary action. Social media activity is considered an extension of conduct at the club itself.

Rayners Lane FC is committed to maintaining a safe environment for all players, officials, volunteers and spectators at Tithe Farm Social Club and at all away fixtures.

At Tithe Farm Social Club

• First aid equipment is available at all home fixtures
• At least one qualified first aider or person with FA Emergency Aid certification is present at all first team matches
• The pitch and surrounding areas are inspected before each match for hazards
• Emergency evacuation procedures are in place at Tithe Farm Social Club
• In the event of a medical emergency, call 999 immediately and inform a club official

Player Welfare

• Players must inform management of any medical conditions, injuries or medications that may affect their ability to participate safely
• Head injury and concussion protocols follow FA and NHS guidance — any player suspected of concussion will be immediately removed from play and must follow return-to-play protocols
• Players are responsible for ensuring they are fit to participate

Health and safety concerns should be reported to a club official immediately. In an emergency, call 999.

Rayners Lane FC takes all complaints seriously and is committed to resolving them fairly, promptly and confidentially.

How to Make a Complaint

• Step 1 — Informal: Raise your concern directly with the relevant person or a club official. Many issues can be resolved this way.
• Step 2 — Formal: If the matter is not resolved, submit a written complaint to the club via our contact page, addressed to the Club Chairman Pete Singh.
• Step 3 — Acknowledgement: The club will acknowledge your complaint within 5 working days.
• Step 4 — Investigation: The committee will investigate and respond within 21 days.
• Step 5 — Appeal: If you are not satisfied with the outcome, you may appeal to Middlesex County FA.

Safeguarding Complaints

Complaints relating to the welfare or safeguarding of children should be referred immediately to the Club Welfare Officer: Emma Galloway or directly to Middlesex County FA / The FA Safeguarding Team on 0800 169 1863. Do not delay.

Discrimination Complaints

Incidents of discrimination can be reported to the club, to Middlesex County FA, or directly via Kick It Out at kickitout.org/report.

Rayners Lane Football Club Limited (“the Club”, “we”, “us”) is the data controller for this website and for Fan Zone. We handle your information under the UK General Data Protection Regulation and the Data Protection Act 2018. This notice is written to be read, not to be survived — if anything below is unclear, ask us and we will explain it.

Who we are

Fan Zone membership

Fan Zone is the Club’s free supporter membership. It is how we know who supports us, and it is what unlocks the full matchday programme online. Joining is free and always will be.

When you join we hold:

• Your name and email address. The email is verified — we send you a sign-in link rather than asking you to invent a password, so we never hold one.
• Your Lane membership number. Issued once and kept for as long as you are a member. If you already had a Lane Card, we keep the number you already had rather than issuing a second one.
• The date you joined, and how. If a particular programme or fixture brought you to us, we record which one. This tells the Club whether its matchday work is reaching people; it is not used to profile you.

Your Lane Card and loyalty

Your Lane Card, your match check-ins and your loyalty progress belong to your membership. Check-ins are recorded when you are scanned in at a match — we do not track your location and the site does not know where you are.

Programme history — said plainly

When you open a matchday programme, we record that you opened it, against your member account. It is stored once per programme per day, with the date and which edition it was.

We do this for two reasons: so you can find and re-read the programmes you have opened, and so the Club can see how many members read a given edition. This record is linked to you — it is not anonymous, and we are not going to describe it as though it were.

We do not record which pages you look at, how long you read for, what you click, or where you go next. The complete list of things we store about what a member does is: account created, programme opened, match checked into, loyalty reward earned, profile updated, marketing preference changed. There is no other activity log, and there is no hidden one.

Emails to the Club

When somebody joins Fan Zone, the Club receives an internal notification at info@raynerslanefc.co.uk containing your name, email, Lane number, when you joined and how. This goes to Club officials only. It is never shared with sponsors or anybody outside the Club.

Marketing — separate, and optional

Club emails are a separate decision from membership. The box is never pre-ticked, we record the exact wording you agreed to and when, and you can change your mind at any time from your Fan Zone page. Refusing marketing never affects your programme access or anything else about your membership.

You can also join the mailing list from the footer of any page without becoming a Fan Zone member. If you do that and later join Fan Zone with the same email, we connect the two records rather than keeping you twice — your original consent date and wording stay exactly as they were.

Cookies and analytics

Nothing analytics-related loads until you accept it. If you decline, Google Analytics is never fetched, no analytics cookies are set, and we clear any we are able to clear. Declining does not sign you out and does not affect Fan Zone: your sign-in is held in your browser’s local storage, not in a cookie. See the Cookie Policy below.

Other information we hold

• Contact, sponsorship and volunteer form submissions (name, email, message)
• Player and official registration details, where you are registered with the Club
• Push notification subscriptions, if you have chosen to receive match alerts

Why we are allowed to hold it

• Consent — marketing emails, analytics cookies, push notifications.
• Legitimate interests — running Fan Zone, providing the programme to members, and keeping the Club’s supporter records. We have considered whether this is fair to you and kept what we hold to the minimum that makes it work.
• Legal obligation — FA and Middlesex County FA registration requirements.

How long we keep it

• Fan Zone membership and programme history — for as long as you are a member. If you ask us to close your account we delete the membership and everything attached to it, including your programme history and check-ins.
• Unverified sign-up attempts — deleted automatically within 24 hours if the link is never followed.
• Contact form submissions — 12 months.
• Player registration data — membership plus 2 years, as the FA requires.

Who else sees it

We use: Netlify (website hosting — privacy policy), Supabase (the database holding accounts and supporter records — privacy policy), Resend (sending the Club’s notification emails — privacy policy), Google Analytics (site statistics, only with your consent — privacy policy) and Football Web Pages (fixtures and league data — privacy policy).

We do not sell your data, and we do not share supporter records with sponsors. Within the Club, supporter records are visible only to officials who need them, through a password-protected portal.

Your rights

• See what we hold about you
• Correct anything that is wrong — you can edit your own name in Fan Zone
• Ask us to delete your data, including your whole Fan Zone membership
• Withdraw consent at any time, including marketing and analytics
• Ask for a copy of your data in a portable form
• Complain to the ICO at ico.org.uk

Fan Zone is operated by Rayners Lane Football Club Limited (Company No. 17110511).

• It is free. There is no charge to join and no charge for the matchday programme. We do not ask for payment details and there is nothing to cancel.
• One account per supporter. Your Lane membership number is issued by the Club and cannot be changed or transferred.
• The programme is for you to read. Members may read and keep every published Rayners Lane home programme. Please do not republish an edition in full or pass your sign-in link to anyone else.
• Programmes are published on matchday, once both official team sheets are confirmed. Editions that have not been published are not available to anybody, members included.
• Club emails are optional and never a condition of membership.
• You can leave whenever you like. Email info@raynerslanefc.co.uk and we will close your membership and delete your record.
• We may suspend an account that is being used to redistribute programmes or that breaks the Club’s codes of conduct. We will tell you why and you can ask us to look again.

Our website (raynerslanefc.co.uk) uses minimal cookies necessary for the site to function. We do not use advertising cookies or sell data to advertisers.
